Phone confirmation remains the bottleneck for many delivery networks across the Maghreb and MENA — especially when the customer pays on delivery. The same process also protects prepaid orders: validate the address, the time window, and avoid empty trips that burn driver time and hub capacity.
This guide is written for operations leads who run (or buy) a confirmation call center tied to a shipping ops platform — not a generic CRM and not a full PBX. Speedliv (by Storeino) is that kind of platform: parcels, slips, finance, confirmation, inventory, and a driver app on one system. COD / cash on delivery is optional, not a requirement.
The problem: confirmation without a shared parcel truth
Typical failure modes look familiar:
- Agents work in a spreadsheet or a softphone CRM that never updates the parcel the hub sees.
- Statuses are marketing labels ("interested") instead of ops outcomes ("confirmed — ready to prepare", "no answer — retry rule", "out of zone").
- Retry rules live in a supervisor’s head, so Monday’s team behaves differently from Thursday’s.
- Finance and last-mile discover cancellations only when the driver is already at the door.
- Multi-country numbers and dial plans are bolted on with no per-country telephony config.
The cost is measurable: lower confirmation rate, higher failed delivery attempts, inventory reserved for orders that will never ship, and endless WhatsApp arguments between call center and hub.
What “good” looks like for shipping ops
A confirmation layer that belongs inside shipping ops should:
- Sit on the same parcel record the hub, driver, and finance teams use
- Offer custom confirmation statuses that match how your agents actually speak (including bilingual labels where needed)
- Enforce permissioned transitions (who can move from A → B)
- Group work by teams (language, country, merchant portfolio, shift)
- Support telephony configurable by country without forcing you onto a proprietary PBX
- Expose confirmation-rate KPIs by team, status, and time window
Speedliv is not a complete PBX. It is a work queue linked to parcels — with statuses, permissions, teams, country telephony settings, and confirmation KPIs.
Status model agents actually use
Model business outcomes, not a generic CRM pipeline:
| Status | Ops meaning | Next system action |
|---|---|---|
| Confirmed | Ready to prepare / pick / ship | Hub + inventory see the same parcel |
| No answer | Retry per rule | Stay in queue with attempt count |
| Callback / recall | Agreed slot | Surface at the right time for the team |
| Cancelled | Reason logged | Release reserved stock; stop dispatch |
| Out of zone | Clear refuse or reassign | Coverage / partner routing decision |
| House statuses | Blacklist, payment clarify, merchant hold | Your SOP |
Keep the list short enough that agents decide in seconds. Every status should answer: *what does the hub do next?*
Recommended SOP (confirmation → ship)
- Ingest — import or create orders/parcels from merchants, Storeino storefront flows, or API.
- Queue — assign to teams with clear ownership (country, language, merchant).
- Contact rules — define max attempts, cool-down between retries, and when “no answer” becomes cancel or merchant return.
- Confirm — capture address corrections, time window, and optional COD amount when that payment mode is used.
- Hand-off — confirmed parcels appear in shipping / slips / inventory with one ID.
- Weekly review — confirmation rate, attempts per contact, time-to-dispatch, cancel and out-of-zone reasons.
KPIs that matter (and how to read them)
| KPI | Why it matters | What to watch |
|---|---|---|
| Confirmation rate | Volume that truly enters preparation | By team, country, merchant |
| Attempts per contact | Agent load + number quality | Sudden spikes = bad data or script issues |
| Confirmation → dispatch delay | Stock reservation & customer promise | Queue bottlenecks after confirm |
| Cancel / out-of-zone reasons | Fix sourcing and coverage | Recurring zones or SKUs |
| Same-day reconfirm need | Fragile addresses / payment surprises | Training or data capture gaps |
Do not invent vanity metrics. If a number is not actionable for hub or finance, drop it from the weekly board.
COD amplifies confirmation — it does not define the product
Cash on delivery increases the value of a solid confirmation process (fewer door refusals). But a shipping platform must run prepaid and mixed flows on the same parcel truth. Speedliv treats COD as an optional capability: amounts can live on the parcel when you use them; they are not mandatory to operate the network.
Multi-country confirmation
Upload cities and zones per country, keep teams and telephony settings per country, and still run one platform. Maghreb & MENA are the go-to-market focus; the product itself is multi-country. Demo sample data may show Morocco (MAD) as an example only — not a product limit.
Checklist before you buy or redesign
- Custom confirmation statuses + permissioned transitions
- Teams and workload ownership
- Confirmation-rate KPIs you can export for weekly ops
- Telephony configurable by country (no forced house PBX)
- Same parcel ID as shipping, slips, settlements, inventory
- City/zone upload per country
- COD optional (not COD-only software)
- White-label / in-app languages your agents need (EN / AR / FR)
FAQ
Do we need a full PBX to confirm orders?
No. You need a parcel-linked work queue with statuses, teams, and country telephony hooks. Softphone or carrier choice can stay yours.
Is confirmation only for COD?
No. Prepaid orders still need address and slot validation. COD makes weak confirmation more expensive.
Can one call center serve several countries?
Yes if the platform supports per-country cities/zones and telephony config on one system — which is how Speedliv is built.
Where does Storeino fit?
Speedliv is the shipping management platform made by Storeino for delivery companies, confirmation centers, and warehouse / 3PL teams.

Scripts and data quality (what agents need on screen)
Agents should see, on one screen tied to the parcel:
- Customer name and all phone numbers (with country code)
- City / zone from your uploaded lists, not free text alone
- Address and landmarks
- Merchant / shipper name and any confirmation notes
- Payment mode (prepaid vs optional COD amount)
- Attempt history (who called, when, which status)
Weak data quality destroys confirmation rate faster than weak scripts. If numbers bounce between local and international formats, fix normalization at ingest — not in the agent’s head.
Example contact policy (adapt, do not copy blindly)
- Attempt 1: same day as order ingest when SLA requires
- Attempt 2: after 90–120 minutes if no answer
- Attempt 3: next morning window
- Then: merchant return, SMS fallback, or cancel per contract
Document the policy in the platform permissions so night supervisors cannot invent a fourth path that finance never sees.
Team design for Maghreb / MENA confirmation floors
Useful team splits:
- By language (AR / FR / EN)
- By country (telephony + city lists differ)
- By merchant portfolio (VIP shippers with stricter SLAs)
- By shift (morning confirmations vs evening callbacks)
Permissions should prevent a junior agent from jumping a parcel to “delivered” or editing COD amounts. Confirmation teams confirm; hubs ship; finance settles.
Integration boundaries (honest)
You may already have a dialer, SIP trunks, or a merchant OMS. Keep boundaries clear:
- OMS / storefront creates demand
- Speedliv (or your shipping platform) owns parcel truth, confirmation queue, slips, driver app, settlements
- Dialer can be external if telephony-by-country hooks exist
Do not buy a second “CRM for call center” that never writes to the parcel the driver scans.
30-day improvement plan
Week 1: Freeze status list; delete vanity statuses; train agents.
Week 2: Enforce attempt logging; kill spreadsheet dual-entry.
Week 3: Publish confirmation-rate dashboard by team; review out-of-zone weekly.
Week 4: Connect reserved stock / expeditions if warehouse is in scope; align cancel reasons with inventory release.
Extended FAQ
How long should a confirmation call take?
Long enough to validate address and commitment — not a sales pitch. Time-on-call is a coaching metric, not a vanity target that pushes fake confirms.
What if merchants confirm themselves?
Still require a system status the hub trusts. Merchant “OK” in WhatsApp is not a parcel transition.
Can AI replace agents?
Treat automation as assist (queue prioritization, number quality flags). Door-level trust in Maghreb/MENA COD-heavy flows still needs accountable human confirmation for many networks — evaluate carefully without fake automation claims.
