Driver mobile app ops: slips, scans, and settlements

What last-mile teams need from a driver app: operational slips, barcode scans, hub handoffs, and clean settlements — one parcel truth instead of WhatsApp screenshots.

Courier using mobile phone for parcel scan

Last-mile breaks when drivers live on WhatsApp while the hub lives on a whiteboard. A driver mobile app only helps if it updates the same parcel as operational slips, barcode scans, and settlements.

Speedliv includes a driver mobile app plus slips (stock delivery, returns, distribution, shipping) and scanning — on a shipping management platform by Storeino. COD on the parcel is optional.

What the driver app must do (minimum viable ops)

    • Show today’s assigned parcels / stops with correct status
    • Scan barcodes at pickup, hub handoff, and delivery attempt
    • Capture attempt outcomes (delivered, postponed, refused, unreachable…)
    • Record collected amount when COD is used — or skip cleanly when prepaid
    • Work with intermittent connectivity patterns common in field ops
    • Feed the same record finance will settle at day close

Fancy gamification does not replace scan + status discipline.

    Operational slips: the hub’s language

Slips are how hubs move work in bulk:

    • Stock delivery / preparation slips
    • Distribution to drivers or zones
    • Shipping / line-haul between sites
    • Returns

Each slip line should point at parcel IDs the driver app will scan. If slips are PDFs while the app uses another ID scheme, you recreating Excel.

Scan points that prevent “ghost parcels”

    Recommended scan moments:

    1. Inbound to hub
    2. On distribution slip to driver
    3. At delivery attempt
    4. On return to hub

Fewer scans than this and you will argue about where the parcel “was”. More scans than your team can execute will be skipped — start with the four above and enforce them.

    Settlements close the loop

    End of shift:

    1. Driver closes attempts in the app
    2. Hub validates scans vs slip
    3. Finance runs driver settlement (and zone/partner as needed)
    4. Exceptions (missing scan, amount mismatch) get an owner before the next day

Without settlements in the same platform, the app becomes a status toy and cash stays on WhatsApp.

    Process checklist

    • Parcel IDs identical across slips, app, and finance
    • Distribution slip → driver assignment is system-driven
    • Attempt codes match confirmation/hub vocabulary where possible
    • COD amount optional and auditable
    • Day-close settlement SOP with exception queue
    • Training card: what to do when offline / scan fails

    Multi-country drivers

Drivers may cross city lists that differ by country. Upload your cities and zones per country; do not accept a frozen vendor map. Maghreb & MENA focus is commercial; product is multi-country.

    FAQ

Can we use personal WhatsApp + the app?

Chat yes; status and cash no.

Does the app replace the hub?

No. Slips and scans at hub remain critical. The app extends the same truth to the street.

    Coaching drivers without WhatsApp archaeology

    Use system fields:

    • Attempt timestamps
    • Scan events
    • Exception codes
    • Settlement variances

Coaching from chat screenshots trains theater. Coaching from scan compliance and first-attempt success trains ops.

    Hub–driver contract

    Write a one-page SOP:

    1. Driver arrives → scans distribution slip parcels
    2. Exceptions before leaving hub (missing parcel) are hub-owned
    3. Field exceptions use approved codes only
    4. Cash (if COD) counted against parcel amounts
    5. Return bag scanned individually, not as a pile photo

    Device & access hygiene

    • Named users, not shared “driver” logins
    • Revoke access when contractors leave
    • Avoid sideloading random APKs as policy
    • Decide BYOD vs company devices explicitly

    Peak season playbook

    • Freeze status vocabulary (no new codes mid-peak)
    • Extra hub scan staff before adding van capacity
    • Settlement cutoffs communicated day-before
    • Confirmation teams surge on no-answer queues to protect first-attempt rate

    Linking confirmation and drivers

Door refusal after “confirmed” should create a feedback tag for the confirmation team. Without that loop, agents optimize for confirm rate while drivers absorb the pain.

    Extended FAQ

    Offline mode?

Field networks need resilient behavior; validate with a real dead-zone test in your cities — do not assume brochure claims. Ask for a concrete demo of queued scans.

    Proof of delivery?

Use whatever your contracts require (scan, signature, photo). The platform should store the attempt outcome on the parcel either way.

    Stop list hygiene

Bad stop data creates fake “driver problems”:

    • Duplicate phones
    • Zones that do not match uploaded cities
    • Addresses without landmarks in dense districts
    • Wrong payment mode on the parcel

Fix upstream in confirmation and merchant intake. The app should display clean fields, not become the data-entry department for the whole company.

    Contractor vs employed drivers

    Both can work if:

    • Settlements are named and attributable
    • Access is individual
    • Liability for cash is contractual and mirrored in exception handling

Shared logins destroy accountability in either model.

    Sample morning hub board

    • Open distribution slips by zone
    • Drivers not yet scanned out
    • Parcels confirmed late overnight (priority insert)
    • COD float issued (if you use floats) recorded against driver

The board should be a live system view, not a dry-erase myth.

    Night returns

Late returns create morning chaos if unscanned. Require night-hub scan even when finance is closed; settlement exceptions can wait, scan truth cannot.

    Photo vs scan

Photos without barcode scans are weak evidence for high-volume networks. Prefer scan as primary; photo as supplement when contracts demand it.

    One-page driver training card

    1. Open assigned route
    2. Scan every distribution-slip parcel before leaving hub
    3. Use approved attempt codes only
    4. Enter/confirm COD only when mode is active
    5. Scan each return individually
    6. Never share login

    Common exceptions

Address not found; customer postpone; COD refuse; damaged parcel; saturated zone. Each code must spawn an owner (hub, confirmation, or finance).

    Settlement link

The app feeds settlement; finance must not retype Excel. If they retype, migration failed.
